Position Overview

The Executive Assistant plays a critical role in the support of our CEO and occasionally members of our Senior Leadership Team. Representing the CEO to both external and internal stakeholders, the Executive Assistant will help further the organization's mission and core values by providing exceptional support which includes duties such as maintaining email, calendars, meetings and events coordination, managing expense reports, and other daily responsibilities and tasks. With a strong attention to detail and excellent organizational skills, the Executive Assistant will have an enthusiastic, confident and approachable presence. He/she will be proactive in anticipating the needs of the CEO and the ability to handle confidential and time sensitive information with the highest degree of integrity. 

Specific roles and responsibilities:

  • Uses proven calendar management experience and decision-making skills to coordinate meetings and conference calls and to coordinate travel, lodging and transportation arrangements
  • Supports the CEO and other members of the Senior Leadership Team by processing expense reports and coordinating other special projects
  • Self-manages tasks independently by using basic project management principles, creatively solving problems by using critical thinking skills and anticipating the needs of the CEO by being proactive and organized
  • Coordinates logistics and assists with preparation for Board meetings and other executive level meetings for the CEO and other members of the Senior Leadership Team
  • Ensures CEO is adequately prepared for meetings and travel which includes assembling materials, scheduling venues for meetings offsite and coordinating transportation
  • Resolves a range of administrative problems and inquiries; recommends efficiencies and best practices where applicable
  • Participates in Senior Leadership Team meetings by taking minutes and distributing notes and action items following the meeting
  • Answers telephone calls, makes appointments, and takes/delivers messages as directed
  • Receives and screens office visitors and telephone calls with a high-level of professionalism and friendliness
  • Acts as an ambassador for the CEO by providing information and responding to requests as needed
  • Handles confidential and sensitive information with poise, tact and diplomacy
  • Researches, composes, prepares, edits, and ensures timely responses to a variety of written inquiries or other priority correspondence that requires immediate response
  • Establishes, maintains, and updates files, databases, records, and other documents; develops and maintains data, performs routine data entry, analyses, and calculations in the processing of information for recurring reports
  • Other duties as assigned

Qualifications:

  • Bachelor's degree required
  • 5+ years of executive assistant experience in a fast-paced, customer-oriented environment required
  • Must have the ability to self-manage and use problem solving skills to initiate and deliver results
  • Must be proficient in MS Office Suite, and technologically savvy and have an interest in learning new technologies, skills and applications
  • Must be extremely reliable and adaptable and have strong time management skills (g. the ability to quickly switch between tasks and re-prioritize as necessary)
  • Must have strong written & verbal communication skills
  • Must have strong interpersonal skills for interacting with employees and customers
  • Must have strong organizational skills and accuracy
